🧲 Set Up Broadcasts

Introduction

This article walks you through how to configure, schedule, and send a Broadcast campaign in Bookboost CRM. It also explains how channel preferences work, the difference from Journey Campaigns, and how to handle audience selection and broadcast limits.

 

📌 Step-by-Step Guide to Send a Broadcast

1. Configure Channel Preferences

As mentioned before you can change the channel preferences after creating the broadcast.

  1. Click on Channel Preferences under the Campaign name and property

  1. Adjust your channel preferences depending on how you want messages to be delivered.
      • For example, you can disable WhatsApp as a channel.
      • If you prefer Email over SMS, drag the options and it will appear in the APP as below. The system will try email first, and if the guest isn’t reachable via email, it will fall back to SMS.

2. Time

  1. You’ll notice that the Trigger field (available in Journey Campaigns) is replaced by a Time field.
  1. Choose when to send the broadcast:
      • Send Immediately

      • Schedule for Later – Select a specific date and time.

3. Understand Time Zone Settings

  • The scheduled time shown will be in the property’s time zone.
  • If your current time zone is different from the property’s (e.g., you're in Europe and the property is in New York), hover over the interrogation icon (?) to view the time difference and confirm accuracy.

4. Audience Selection

  • You must add an audience to the broadcast, or the system will show an error and the broadcast won’t be sent.

  • Once an audience is selected, the interface will show:
    • The number of people in the audience.
    • The channels each guest is reachable through.

5. Sending and Limitations

  • Broadcasts are only sent once.
  • This differs from Journey Campaigns, which are triggered automatically and repeatedly.
 

6. Content

  • The rest of the process is the same as when building a Campaign
 

⚠️ Broadcast Sending Limits

Default Limit

  • By default, broadcasts can be sent to up to 1,000 guests.
  • If your audience exceeds 1,000 guests, the broadcast will not send and an error will appear.

How to Increase Your Limit

  1. Contact support@bookboost.io to request a higher limit.
  1. Mention the new limit you'd like (e.g., 10,000 or 50,000).
  1. We will update the limit for your property. There’s no need to inform us again—you’ll be able to send campaigns to up to the increased amount at any time. You’ll only need to contact us again if you want to increase the reach further in the future.
  1. There’s no unlimited option, but we can increase the limit based on your request.
🕒 Important: If you are unsure about your current limit or know that your current limit is less than the messages you are going to send. Please reach out at least 24 hours in advance if you plan a large campaign to ensure we have time to update your sending limit.

📝 Consent Considerations

  • Consent is not mandatory, but if you have collected and stored guest consent in Bookboost:
    • You can filter and send the broadcast only to guests who have given consent.
    • The system will display how many guests meet this criteria (e.g., 2 out of 64).
