Learn How to Use the Multi-Guest Check-In Form effectively

This feature improves the check-in process by allowing multiple guests in a reservation to complete their check-in effortlessly. Here’s everything you need to know:


How It Works

Automatic Activation: The Multi-Guest Check-in feature is enabled on Pre-Check-in and Check-in forms whenever a reservation includes more than one guest.

Smart Form Generation: The system detects the reservation details and generates additional forms for guests categorized as Primary Guest or Secondary Guest.

Pre-filled Information: These forms come pre-filled, just like standard check-in forms, making the process smoother for guests.

Additional Forms: If the number of guests exceeds the number of profiles in the system, blank forms are generated to match the total number of guests.

 

📍Please note: The multi-guest check-in feature is automatically activated on both Types Pre check-in and Check-in forms when a reservation includes more than one guest. This also applies retroactively to existing forms, as the system references the reservation linked to the form.

👉 If you prefer not to send forms to additional guests, you’ll need to create your forms using the “custom” form type.


Example Scenario

  • A reservation has 4 guests with 3 profiles: 1 Primary Guest, 1 Debtor, and 1 Secondary Guest.
  • The form is sent to the Primary Guest.
  • The system generates a second form for the Secondary Guest.
  • Since there are still two missing guest forms, the system generates two blank forms for them.

At submission, the Primary Guest can either:

  • Fill in details for accompanying guests.
  • Submit only their own form, leaving the rest for later completion.

If the guest selects “Not Now”, the form is submitted as usual, and the Multi-Guest Check-in feature does not activate. If they select “Yes”, they will be directed to complete the next guest’s form in the queue.


Submission & Profile Updates

  • Each guest will have a separate submission record for tracking.
  • The guest who originally received the form will be marked as the submitter.

Integration with PMS

📌 Mews 🔄 2-Way Synchronization: The system updates each existing profile in Mews and creates new profiles for guests not already in the system.

📌 Apaleo: The system updates only the guest profile that received the form but does not create new profiles.

This feature ensures a faster, more convenient check-in experience for your guests while reducing front desk workload.
