🏨 Online Check-in Form in Bookboost
This article explains how to create, manage, and send online check-in forms using Bookboost. It covers supported PMS integrations like Apaleo and Mews, and how guest data syncs across systems.
One of the key features of the Bookboost Guest App is the ability to collect guest information via customized digital forms.
This article will guide you step-by-step through the creation, management, and delivery of the online check-in form, highlighting how the process works across different PMS systems. 🔄 Supported Integrations & Key Differences
✔️ Apaleo (2-way integration)
- Guest data is updated in real time in the PMS when the form is submitted.
- Fields like email, phone, address, and ID can be synced directly with the guest profile in Apaleo. (Click here for more information)
✔️ Mews (2-way integration)
- When a reservation is created in Mews, the system automatically generates a unique online check-in link.
- You can include this link in your campaigns using the token {{mews.checkin_link_primary_guest}}
- When the guest opens the link, they are redirected to the Mews check-in page where they can:
- Fill in their details.
- Explore and add upsells (if available).
- Enter payment details.
- Finalize the check-in process.
- After submission, the reservation status in Mews updates to "Online Check-in", confirming successful completion.
📍 Where to find the token
You can find the {{mews.checkin_link_primary_guest}}
token in the list of available tokens within the message editor.
Look for it under the Tokens tab while editing your campaign message.

📌 Requirements:
- Active integration with Mews.
- Online Check-in feature enabled in Mews. If you're not sure, please contact support@bookboost.io
🔁 Other PMS providers
For PMS without 2-way integration, the form can still be sent and completed. However, the data is not automatically synced with the PMS.
🛠️ How to Create a Check-in Form
You can follow this step-by-step guide to create your form: Key steps:
- Go to the Digital Reception section from the left panel.
- Click on Forms and then + Add new form.
- Give your form a name and select a form type.
- Enable the “Update in PMS” toggle if supported by your integration (Apaleo only).

🧾 Example of a Check-in Form
Typical field setup:
- Text (content): Welcome to the online check-in for [HOTEL NAME]. Please complete the form with your reservation details…
- Email Address
- Phone Number (Don’t forget to include your country code)
- Identification
- Birthday
- Address
- Country
- Divider
- Consent Checkbox: “Yes, I agree to receive marketing communications…”
- Text (content): Thank you for updating your profile details…
✔️ If Bookboost already has some guest data, fields will be pre-filled for the guest to improve user experience and boost conversion rates.
👥 Multi-Guest Check-in
When more than one person needs to check in under the same reservation, you can use the Multi-Guest Check-in Form type.
📬 Add a Check-In Form to Your Campaign
- Go to the campaign where you want to add the form link.
- Open the editor.
- Click on Digital Reception.
- Select Form.
- A list of all available forms will appear.
- Copy the token of the form you want to use.

📂 Where to View Completed Forms
Go to the Submissions section under the Digital Reception menu, where you can:
- Filter submissions by property, guest name, and submission date.
