☁️ Cloudbeds Integration Guide
Introduction
Bookboost Cloudbeds integration connects your Cloudbeds PMS with Bookboost’s CRM, Unified Inbox, and Digital Reception (pre‑check‑in) features.
Once connected, this integration allows you to:
- Import reservations and guest profiles from Cloudbeds into Bookboost.
- Trigger automated guest journeys and pre‑check‑in flows based on Cloudbeds data.
- Push guest information collected in Bookboost back into Cloudbeds, keeping your PMS data updated.
Note: The integration is currently certified for pre‑check‑in use cases and is being released in a limited rollout phase with selected pilot properties.
Main Features of the Integration
With this integration, you gain the following functionalities:
- One-way and two-way data sync between Cloudbeds and Bookboost.
- Use pre-check-in forms to gather and update guest details.
- Sync guest profiles for better segmentation and communication.
- View synced data directly in the Unified Inbox during conversations.

How to Get Started

- Contact your Customer Success Manager or email support@bookboost.io.
- Request to enable the Cloudbeds integration.
- Your CSM will ensure:
- Your property is fully set up.
- You have access to Digital Reception / pre‑check‑in forms.
- Once confirmed, proceed to connect Bookboost with Cloudbeds (see below).

How to Connect Bookboost with Cloudbeds

Make sure you have:
- An active Cloudbeds account with permission to install marketplace apps.
- An active Bookboost account with at least one configured property.

1️⃣ Steps to Connect via Cloudbeds Marketplace
- Log in to Cloudbeds with a user who can install apps.
- Go to the Cloudbeds Marketplace and search for Bookboost.
- Click Connect app.
- Review permissions and click Allow / Authorize.
- You’ll be redirected to Bookboost to:
- Confirm your organization.
- Select the property to connect.
- You’ll see a success message once connected.
- Repeat the steps for each property you want to connect.
How Data Sync Works

Reservations:
- Guest name (booker), check-in/out dates
- Room/unit, occupancy, source/market/channel (if supported)
Guest Profiles:
- First name, last name, email, phone
- Full address, country, date of birth
Imported data is used across:
- CRM (for segmentation and campaigns)
- Digital Reception (for data confirmation)
- Unified Inbox (for up-to-date communication)
Data Sent from Bookboost → Cloudbeds
When a guest completes a pre‑check‑in form, Bookboost updates or creates the profile in Cloudbeds:
- Name, email, phone
- Address, date of birth
- ID document details (when configured)
Accompanying Guests:
- Bookboost ensures added companions do not exceed Cloudbeds’ reservation occupancy limits.

- Automate pre‑arrival messages triggered by Cloudbeds reservations.
- Run pre‑check‑in flows to collect guest data and sync it back to Cloudbeds.
- Build segments (e.g., OTA guests vs. direct bookings).
- Enable front-desk teams to see updated guest info in Unified Inbox.
⚠️ Known Limitations
- Two‑way sync is limited to pre‑check‑in flows. Manual edits in the CRM do not sync back to Cloudbeds.
- Guest consent is imported only. It cannot be updated in Cloudbeds via Bookboost yet.
- ID document fields must meet Cloudbeds’ format. If incomplete, updates may be rejected.
- Availability: The integration is in limited release and may not be visible in all Cloudbeds accounts yet.
How to Disconnect
From Cloudbeds:
- Log in to Cloudbeds (myfrontdesk).
- Go to Apps / Integrations / Marketplace.
- Find the Bookboost app.
- Follow the instructions to disconnect.

Once disconnected:
- Cloudbeds stops sending data to Bookboost.
- Bookboost can no longer sync or update Cloudbeds data.

- Sync is near real-time, based on events sent from Cloudbeds (usually within a few minutes).
Can I connect multiple Cloudbeds properties?
- Yes. Connect properties individually or via group-level authorization.
What happens if I disconnect the integration?
- New data stops syncing. Existing data in Bookboost remains unless a deletion request is submitted.
